As the organization grew, the need for a more integrated and future-proof digital architecture arose. A new enterprise architecture vision was the starting point for organizing IT fundamentally differently, with a central integration layer as an essential component.

HR, IT and core systems supported operations well, but further scaling required real-time synchronization, automated access management and a robust orchestration layer between systems.

Approach: Event-driven architecture as a foundation for IAM and automation

As part of the new enterprise architecture, Workato was chosen as the central integration and orchestration layer. The deciding factor was the low-code/no-code approach, combined with strong support and a clear roadmap for future development.

An event-driven architecture has been set up around employees and clients. This means that changes in core systems – such as entry, job change or exit – are automatically processed as “events” and passed on in real time to all relevant applications.

An intelligent Identity & Access Management model has been set up around this architecture. Users are automatically provisioned and de-provisioned based on their role.

The starting point: the principle of least privilege. Every employee receives exactly the access needed for the job; no more and no less.

Important in this was also the democratization of integration. The approachable design of the platform allows the internal team to develop and manage workflows independently, without structural dependence on external specialists.

With Workato, HR, IT and core systems – including Microsoft Dynamics – are integrated within one central orchestration layer.Whereas onboarding previously consisted of manual transfers via spreadsheets, it is now completely API-driven.

When an employee is hired, changes positions or leaves employment:

  • Are accounts automatically created or deleted
  • Are access rights dynamically adjusted
  • Are licenses automatically assigned or revoked
  • Are systems synchronized in real time

This eliminates error-prone manual steps and creates one reliable data flow between systems.

In addition, the setup supports compliance-by-design. Access is automatically revoked upon exit, greatly reducing risks of unauthorized access to sensitive data; essential within ISO and other compliance frameworks.
