Ten universities, one shared ambition: to make education, research and career development accessible across borders.

The YUFE alliance (Young Universities for the Future of Europe) partnered with Maastricht University, the project’s coordinator and client, and Ciphix, the technology partner, to develop the YUFE Virtual Campus: a digital platform that connects students, staff, and European citizens across Europe within a single virtual university.

The challenge: ten universities, ten systems, one goal

How do you connect ten universities across Europe, each with its own student administration, course catalogue and learning environment, into one coherent digital whole?

  • A student from Maastricht who wants to follow a minor in Madrid.

  • A staff member from Bremen sharing knowledge with colleagues in Essex.

  • A citizen in Finland who wants to explore sustainability.

Behind these scenarios lay a significant technical and organisational challenge. YUFE wanted to build a single digital layer on top of all these systems: one place where users can register, enrol in courses and track their progress, regardless of their home university.

The context: a European initiative for collaboration and mobility

The YUFE alliance emerged from a European initiative aimed at strengthening collaboration between universities and increasing international mobility for students.

Ten universities decided to join forces in one digital university. An ambition that required not only technology, but also vision, governance and cross-border collaboration.

In 2019, the assignment was awarded to Bizzomate, later acquired by Ciphix. Under the leadership of Maastricht University, Ciphix worked as technology partner on the development of the Virtual Campus: an environment designed to grow into a successful model of a socially engaged European university.

The approach: from vision to virtual university

Co-creation from day one

The collaboration among YUFE, Maastricht University, and Ciphix began with the initial blueprint for the Virtual Campus. In joint workshops with all ten universities, the teams defined what the platform needed to deliver and how to keep it user-friendly despite its complexity.

Ciphix guided this process with a clear focus on priorities: launch the core first, then expand based on usage data and feedback.

Low-code as the engine of a changing ecosystem

The choice for Mendix as a low-code platform was crucial. While traditional software development requires a fixed scope, YUFE is constantly evolving: new partners, new user groups and shifting priorities.

With Mendix, the alliance could build iteratively, test with real users and continue developing based on feedback.

Core functionalities such as the enrolment flow, progress tracking and UI components were realised and validated within a short timeframe.

The Virtual Campus acts as a System of Differentiation on top of existing university systems. Data from various sources, such as student administrations and course catalogues, can ultimately be brought together into one consistent user experience. Universities retain full control over their own data, while Mendix provides the technical foundation that enables further integration.

Architecture under the hood

The architecture consists of three layers:

  • System of Record – the source systems containing core data

  • System of Differentiation – the Mendix layer that consolidates and personalises data

  • System of Innovation – where new ideas are developed and tested

The result is a modular, scalable platform that allows universities to join or leave without affecting the core. This flexibility is essential within a European alliance, even if it sometimes requires careful alignment among partners.

One central access point

Ciphix designed the Virtual Campus as a central, accessible layer on top of existing university systems. At this stage, much of the data is still managed or imported manually, but the architecture is designed with future integrations in mind.

This creates one recognisable gateway to the shared educational offering, while preserving the universities’ existing IT structures.

User-centred design

Following feedback from students and staff, the Virtual Campus underwent a complete UI/UX redesign. The interface is more intuitive, navigation is simpler, and user progress is front and centre.

A new progress tracker shows the entire learning journey, from student to staff member to European citizen, all within one profile.

The solution: the YUFE Virtual Campus

The YUFE Virtual Campus is the digital heart of the European university.

Users can:

  • explore and enrol in courses and programmes from all partner universities;

  • track their progress in one overview, including certificates and learning objectives;

  • collaborate and share knowledge across university borders;

  • participate in joint programmes, including the new European bachelor.

The solution is modular and scalable. Universities can join or leave without rebuilding the system. New functionalities, such as community modules or mobility components, can be added step by step.

The results: from vision to reality

After five years of development, YUFE has grown into a fully-fledged digital ecosystem where digital and physical mobility come together.

The next step: building the European university of the future together

YUFE continues its mission to become a successful model of a socially responsible European university. Driven by this ambition, YUFE is working towards further integration, accessibility and quality within its digital ecosystem.

Ciphix remains involved as technology partner, with a focus on:

  • standardising processes;

  • continued development of the architecture;

  • expansion to new target groups.

Lessons for the future

The YUFE Virtual Campus demonstrates that large-scale collaboration between organisations is possible, even when data, systems and interests differ. The key is not a single new system, but a smart integration layer that connects existing technologies while keeping the user at the centre.

By starting small, delivering continuously and improving based on real user experience, an idea can grow into a sustainable platform that delivers real value. For organisations working with multiple partners or fragmented processes, YUFE is an inspiring example: digital transformation does not need to be radical to have a significant impact.
