Headfirst Group, a European leader in workforce solutions, is known for its innovative approach to connecting more than 25,000 people every day through a combination of cutting-edge technology and a personal touch. The company’s platform, Striive, processes approximately 40,000 talent applications annually, matching recruiters with top candidates to clients’ needs. Despite this success, Headfirst Group faced significant challenges in processing and posting jobs, a task traditionally performed manually by recruitment assistants.

The manual process of entering job applications into Striive was time-consuming, repetitive and prone to human error. Recruitment assistants had to process a large number of talent applications and enter data into 56 different fields for 70 different application types. This tedious task not only delayed the time-to-market for talent requests, but also distracted employees from more strategic and valuable activities. The inefficiency of manual processing posed a risk to Headfirst Group’s commitment to delivering timely and accurate workforce solutions, which necessitated a robust and automated solution.

A digital contributor: Benthe

To address these challenges, Headfirst Group partnered with Ciphix to develop and implement Benthe, a digital employee that embodies hyper-automation. Benthe uses Intelligent Document Processing (IDP), Artificial Intelligence (AI), Robotic Process Automation (RPA) and Application Programming Interfaces (APIs) to automate the entire job posting process. Benthe works 24/7 without breaks, processing emails with attachments, accurately categorizing them and entering job posting data into Striive with exceptional precision.

Benthe’s workflow is designed to tackle complex tasks such as document interpretation and data entry with remarkable efficiency. Thanks to AI-enabled Intelligent Document Understanding, Benthe can accurately process and interpret various document formats, extract relevant information and categorize it according to 70 different request types. This information is then fed into Striive across 56 specific fields, ensuring consistency and accuracy. Benthe’s integration with APIs further streamlines the flow of data between email systems and the Striive platform, significantly increasing operational efficiency.
